Oral Appliance Therapy Coordinator (FT)

We are seeking a confident, passionate, and dedicated clinician to fill the role of oral appliance therapy coordinator in a full-time position.

Reporting to the Client Services Manager or designate, the Oral Appliance Therapy Coordinator plays a crucial role in providing support and assistance to patients who are seeking dental solutions for sleep-related issues. This position involves a combination of sales and clinical support responsibilities, focusing on educating and supporting patients through finding the right sleep therapy products and services to improve their sleep quality and overall well-being.

Job Responsibilities:

Patient Engagement:

· Develop a deep understanding of the suite of services and product offerings, and effectively communicate the importance of sleep health and the benefits of sleep therapy. This includes gaining product knowledge of the range of sleep equipment, with a focus on dental solutions such as Oral Appliance Therapy (OAT), also known as mandibular advancement devices.

· Review Oral Appliance Therapy as part of the personalized care plan when indicated on recommendations and prescriptions from Sleep Specialists.

· Collaborate with insurance companies to verify patient coverage for sleep therapy services and assist patients in understanding their insurance benefits, co-pays, and any pre-authorization requirements. Alternatively, review other financing options, ensuring the timely delivery of services.

Patient Support:

· Assist patients in selecting the most suitable sleep therapy products based on their care plan requirements. Explain the features and benefits of different products and services addressing any questions or doubts customers may have.

· Focus support and education on Oral Appliance Therapy initiation, titration and efficacy testing.

· Act as a liaison between patients and clinical leads and/or dental partners ensuring a cohesive and comprehensive approach to patient services.

Patient Relationship Management:

· Build and maintain positive relationships with patients promoting a “Patient for Life” philosophy by focusing on the long-term well-being and satisfaction of patients over their lifetime.

· This includes clinical follow-up to ensure compliance with treatment, customer satisfaction and/or addressing patient complaints or concerns in a professional and empathetic manner.

Documentation:

· Maintain accurate and organized records of patient interactions, orders, and inquiries leveraging Customer Relationship Management (CRM) and patient Electronic Medical Records (EMR) software. This information can be useful for future reference and for tracking customer preferences.

· Complete all required charting promptly to support a collaborative, team-focused approach to patient care.

· Take pride in meticulous charting and record-keeping to ensure accurate and comprehensive documentation of each patient’s care plan.

Collaboration and Goal Achievement:

· Collaborate with other departments within the organization, such as the clinical leads, marketing, and inventory management, to ensure smooth operations and a cohesive patient experience.

· Participate in meeting or exceeding the global team goals and metrics.

Continuing Education and Workshops:

· Participate in relevant workshops, seminars and/or webinars focused on overall sleep therapy, Oral Appliance Therapy and sales strategies.

· Pursue and maintain relevant clinical licenses/certifications enhancing the Oral Appliance Therapy Coordinator role and the organization’s credibility and expertise in the field.

· The Oral Appliance Therapy Coordinator will be responsible for performing other duties as assigned, which may include, but is not limited to, assisting with ad hoc organizational projects and initiatives.

To qualify for this role, you must have:

· Sleep industry experience, from a hospital, medical, or dental clinic, providing treatment for sleep disordered breathing.

· The motivation to enhance a new patient treatment pathway for treatment of sleep disordered breathing.

· Oral Appliance Therapy or Mandibular Advancement Device knowledge and experience an asset.

· Demonstrated exceptional patient education as it relates to primary snoring and sleep apnea.

· Excellent verbal and written communication skills.

· The ability to organize and prioritize patient follow-up.

· Demonstrated basic sales skills, including identifying opportunities, negotiating, and upselling, to contribute to achieving overall sales targets.

· Demonstrated time management skills to effectively manage multiple patients and team interactions and tasks simultaneously.

· Attention to Detail. Accurate treatment choice and titration and precise communication are critical to ensuring patient safety and satisfaction.

· Demonstrated team player and the ability to collaborate with peers and other departments is crucial for successful patient and organizational outcomes.

· Proficiency in the use of EMR and/or CRM software, suite of MS Office products, and other relevant software tools.

· Consultative phone sales or call center experience an asset.

· Bilingual or multilingual is not required but considered a strong asset.
