In this role, you’ll show your mettle as you find ways to uphold excellence and high standards in our preventive maintenance programmes and conservation practices. Working closely with the chief engineer, you’ll also monitor the M&E projects, looking out for… their quality and ensuring their timely delivery. Delivering complete and accurate facility management reports is another requirement that you must meet consistently. Likewise, you’ll play a huge part in the hands-on process of providing to the client comprehensive facility, contract and procurement management for technical services. You’ll contribute to hitting financial targets and other goals set by the senior facilities manager, achieving key performance indicators, and meeting service level agreements. Specific Duties: Operations: · Manage the team providing first line technical services to the Managed Facility, including – BMS Operations, Mechanical and Electrical support, Carpentry, and plumbing services. · Ensure the Electrical systems and substation are maintained to meet objectives in terms of integrity and operability. · Assist the Facility Manager in overseeing and coordinating technical activities, projects, and services to ensure they align with organizational goals and objectives. · Support the planning and execution of technical projects, including budgeting, resource allocation, scheduling, and monitoring progress to ensure timely completion. · Collaborate with cross-functional teams to ensure seamless integration and coordination of technical services with other departments or stakeholders. · Assist in developing and implementing standard operating procedures (SOPs) and best practices for technical operations, ensuring compliance and efficiency. · Provide guidance and support to the technical team, including mentoring, training, and performance management, to foster a high-performing and skilled workforce. · Monitor and evaluate operational performance of technical systems, equipment, and facilities, identifying areas for improvement and implementing appropriate measures to enhance reliability, efficiency, and safety. · Coordinate with external vendors, contractors, and service providers to ensure timely and satisfactory delivery of technical services. · Maintain accurate records, documentation, and reports related to technical operations, projects, and maintenance activities. · Stay updated with industry trends, technological advancements, and regulatory changes to ensure compliance and recommend innovative solutions where applicable. · Assist in managing technical budgets, tracking expenses, and identifying cost-saving opportunities without compromising quality and service delivery. · Responsibility for all adhoc duties and tasks as assigned by Manager. BMS Operations, Mechanical & Electrical Support Carpentry & Plumbing Services: · Create and maintain an ‘Operations Manual with stakeholders coordination’ which will detail the standard operational procedure (SOP) of all equipment’s installed/ functioning in TIAA facilities. The manual will contain the equipment history and daily, weekly, monthly, or yearly maintenance schedules. The service manual will also contain the detailed drawings / reports of all electrical and mechanical installation including plumbing or electrical shafts plus: · 52-week planner for prognostics, reliability centered maintenance all installed equipment’s with no business disruptions due to lack of maintenance or negligence by FM Staff. Study and Analyze the Power trend for early alerts and meeting the requirement of sustainability initiatives. · Monitoring of all Service provider employment records, feeder wise/floor wise electrical load and load distribution list.to ensure compliance with statutory/legal requirements, EHS compliance by Service providers. Should ensure 100% statutory compliance with related to installed equipment’s. · Escalation Charts for Equipment in place. · BCP plans, Considering breakdown scenario. · Standard operating procedures for business-critical equipment · Keeping track of consumption & ensuring requisite stock of material, consumables & tools is always maintained at site, with no instance of stock being completely exhausted. Managed & tracked by FM. · Compliance with the operating and maintenance instructions of the OEM / supplier. Manage inventory of all equipment & consumables. · Investigating & providing a detailed report of any ‘out of line’ occurrences. · Submission of monthly utilities reports along with invoices as part of ‘monthly management report’. · Energy Audit to be conducted annually, with action plan. Only in coordination with Client Vendor. · Ensure regular upkeep of the premises in consultation with client. Examples of the items to be maintained Include (but not limited to) Lighting, clocks etc. · Validation and processing of supplier invoices for payment by the principal’s accounts payable. · Submission of monthly utilities reports. · Management and application of conservation opportunities. · Value Adds in terms of Savings on opex, Equipment efficiency, etc. · Coordinating with the landlord for all provided services & auditing the landlords premises & equipment’s regularly to avoid any threat of business disruption to client. · All complaints to be resolved within 4 hrs. (Minor) and 24hrs (Major) · Replacing Plumbing & Carpenter spares as & when required and maintaining proper records. · Management of Critical Equipments: · Management of all Critical Rooms and Extra Monitoring to avoid any business impact in server rooms/data centers at sites/locations, always ensure 99.999% uptime, maintain utilities as per the standard norms (OSHAS, etc.) Risk Management: · The supplier must implement appropriate risk management plans in relation to all WHS risk management. · Documents of Hazard and risks, process to respond to and manage risk and requirement to regularly report compliance and results, to report non compliances and to immediately report significant risk situations or aberrant conditions arising. · The risk associated with health and safety hazards, identified pursuant to above point are assessed included as part of supplier’s procedures and effectively managed through the development and documentation of appropriate WHS risk management plans. · Supplier to ensure its employees, agents and sub-contractors are appropriated inducted, trained and supervised in relation to the risk identified and assessed pursuant to this clause, the procedures they need to follow to manage those risks and their WHS obligations under the contract. Reports & Documents Management · Transition Manual, Daily Management reports, PPM Calendar, FM Service Provider/Supplier evaluation sheet, service reports, Incident/Accident register, M/C Cards, AMC Tracker, Asset Register, Consumption reports, Attendance Register, Audit report / Action Plan tracker, Complaint Management report, MMR & QBR, Equipment checklists & logbooks; Daily Cleaning Schedules, MSDS list, SOP’s etc. Courier incoming/outgoing register; DSR, MMR etc. Training Records, Incident/accident register & MSDS register. Shaping a system of best practices Your engineering prowess will be your toolkit for success. Managing on-site mechanical, electrical, plumbing installations and civil maintenance should be second nature to you. You’ll also be in-charge of preparing the list of critical spares for all installations based on the manufacturers’ recommendations. On top of these, you’ll plan the maintenance inventory being carried out with our in-house teams. No machine failures of critical equipment should escape your sharp eye. You should, then, also be ready with a pre-emptive maintenance programme for these malfunctions to prevent the risk of sudden breakdowns. You’ll also make sure that our logbooks, checklists and schedules are upkeep and current. From time to time, you’re expected to arrange ad-hoc M&E set ups based on the client requirements.
