Role Summary
The Finance & Operations Assistant supports financial administration and operational coordination for a waste management service.
This is a home-based role, but it begins with face-to-face, on-site training to ensure you fully understand our systems, processes, and operational workflows before transitioning to remote work.
The role blends financial accuracy with operational problem-solving and daily communication with internal teams, drivers, customers, suppliers, and external partners.
Key Responsibilities
Financial Administration
• Prepare, issue, and reconcile customer invoices for waste collection and disposal services.
• Process supplier invoices, verify landfill and haulage charges, and maintain accurate digital records.
• Support weekly and monthly financial reporting, including revenue tracking and cost analysis.
• Monitor outstanding payments and assist with credit control activities.
• Reconcile operational data, including tonnage reports and route sheets, against financial records.
Operational Support
• Assist with route planning and scheduling coordination.
• Track daily operations, logging service issues and escalating delays or missed collections.
• Maintain Duty of Care documentation, Waste Transfer Notes, and compliance records.
• Liaise with disposal facilities and recycling partners to confirm bookings and resolve discrepancies.
• Respond to customer enquiries relating to collections, billing, and service changes.
Systems & Data
• Maintain accurate information within finance and operational systems.
• Produce reports using spreadsheets and operational dashboards.
• Organise and maintain digital records for audits and compliance purposes.
Skills & Competencies
• Excellent attention to detail.
• Strong numerical and analytical skills.
• Good understanding of operational processes and service delivery.
• Excellent written and verbal communication skills.
• Strong IT skills, particularly Microsoft Excel.
• Ability to work independently and manage workload effectively.
• Proactive problem-solving skills and a positive attitude.
Qualifications & Experience
• Previous experience in finance administration, operations support, or a similar role.
• Experience within waste management, logistics, transport, or environmental services would be advantageous.
• Familiarity with invoicing systems, ERP software, CRM platforms, or weighbridge systems is desirable.
• GCSEs, A-Levels, or equivalent qualifications.
• Finance, accounting, business administration, or related qualifications are beneficial.
Working Environment
This is a home-based role following an initial period of face-to-face, on-site training to ensure a full understanding of systems, processes, and operational workflows.
Following training, the role becomes fully remote and requires strong self-management, reliable internet access, and confidence working independently. Regular communication with colleagues, customers, suppliers, and operational teams is essential to ensure smooth service delivery
