DMS Analyst (NetDocuments)
Fixed-term contract for the duration of Programme Drive
The Opportunity
Lawfront is a fast-growing, PE-backed group of seven leading law firms, and through Programme Drive we are consolidating the group onto a single, modern technology stack. NetDocuments is the document management system at the centre of that stack, and we are looking for a DMS Analyst with real depth in NetDocuments who can configure it well and lead the migration of documents and metadata out of our hub firms’ legacy systems and into it.
This is a hands-on, fixed-term programme role with a clear purpose. Legal firms hold their documents in many places, in legacy case management systems, in other document management platforms, and in years of unstructured file stores, and your job is to bring that content into NetDocuments cleanly, with the right metadata and the right security. You will work alongside the data, BA, and test teams throughout, applying judgement to messy content and giving each firm confidence in its documents on the day it goes live.

What You Will Do
• Configure and maintain NetDocuments, including cabinets, workspaces, document profiles and metadata, security and ethical wall structures, filters, and ndOffice, so that each hub firm has a document environment that is well organised and secure
• Develop and apply a deep understanding of how documents and their metadata are structured across NetDocuments and the group’s legacy systems
• Lead the discovery of documents held in each hub firm’s legacy case management system, existing document management platform, and unstructured file stores, profiling volume, structure, metadata, and quality
• Design metadata mappings, migration rules, and reconciliation checks that move documents into NetDocuments completely, accurately, and into the right place
• Plan and run document migrations, including de-duplication, profiling, and content remediation, investigating and resolving exceptions as they arise
• Work closely with the QA and test team to validate migrated documents and metadata against source systems, supporting user acceptance testing and go-live sign-off
• Handle the practical realities of migrating from unstructured file shares, applying judgement on what to migrate, how to profile it, and how to preserve context
• Document configuration, metadata models, and migration runbooks clearly for both technical colleagues and the wider delivery team
• Support integrations between NetDocuments and the rest of the Lawfront stack so that documents and matter context stay connected
• Provide hands-on support during and after each hub go-live, resolving document and metadata issues quickly, and contribute to a repeatable approach for the hubs that follow
What You Will Bring
• Strong, hands-on experience with NetDocuments, including configuration of cabinets, workspaces, profiles and metadata, and security structures
• Experience with other document management systems, including iManage, and a genuine understanding of how legal DMS platforms organise documents and metadata
• Experience migrating documents and metadata into a target DMS, including from legacy case management systems and unstructured file stores such as network shares
• Strong data handling skills, comfortable profiling large document sets, mapping metadata, and validating migrated content at volume
• A methodical, detail-oriented approach, with the judgement to make sensible decisions about messy, unstructured content and the tenacity to resolve migration exceptions
• Strong communication and stakeholder skills, able to work with fee earners and support staff to understand how they file and find documents, and with technical colleagues to deliver it
• The ability to manage concurrent migration workstreams across multiple hub firms without losing rigour, keeping the delivery team informed of progress and risk
• Experience producing clear configuration and migration documentation that others can rely on and reuse
What Would Set You Apart
• Experience with records management, retention, and information governance in a legal or professional services setting
• Familiarity with document migration tooling and approaches for moving and re-profiling large volumes of documents and metadata
• Knowledge of NetDocuments hosted on AWS, and an understanding of the infrastructure considerations that come with it
• Familiarity with integration and middleware tooling, including Boomi, and how document and matter data move between connected systems
• Experience working within a structured programme delivery environment, with an appreciation of migration gates and go-live readiness
