Job Responsibilities
– Understand sales performance metrics
– Coordinate with teammates to launch projects quickly
– Support sales and prospecting processes by maintaining and following established procedures
– Proven experience as a Sales Administrator, Sales Support Agent, or Sales Coordinator
– Experience with Google Drive, Docs, and Sheets
– Strong organizational and multitasking skills
– A dedicated team player
– Ability to work under strict deadlines
– Work with CRM systems and create automations with marketing teammates to help move prospects through the pipeline
– Send documents for electronic signature
– Maintain and update the sales pipeline
– Maintain and improve SOW templates
– Manage the schedule for creating and updating case studies each quarter, working with marketing to maximize their use
– Support the collection of testimonials from current clients (with the Account Manager), and from prospects (with sales), working with marketing to leverage them
– Referral marketing support: help create and maintain referral programs, coordinate outreach and automations, manage call lists, etc.
– Assist the Sales team with project management activities
– Improve the efficiency of sales activities
– Maintain and update the CRM, including contacts, deals, and pipelines
– Create call lists and follow-up lists for Sales Executives
– Draft sales emails
– Perform sales administrative tasks, including initiating new proposals and gathering information needed to create or support Statements of Work (SOWs)
– Communicate regularly with the sales team
– Provide sales reporting
– Perform other duties as assigned
Examples of Work Assignments
Sales follow-up communication (email drafts and phone calls)
1. Process review

3. Update the daily call list according to the process
4. Review and send emails via Docusign (e.g., podcast release forms, SOWs for signature)
Pipeline maintenance
1. Update the pipeline based on daily sales activities
2. Review all sales notes from calls and ensure all tasks are assigned
3. Track assigned tasks
Sales collaboration
1. Ensure SOW templates are up to date, or confirm regularly with the team
2. Support sales in completing sales documents and notes, including client questionnaires
3. Case studies: manage schedules, make assignments per process, and project manage
4. Testimonials: manage schedules, make assignments per process, and project manage
5. Work with marketing to leverage case studies and testimonials
6. Referral sources: create and manage processes
7. Referral sources: research new referral sources
8. Create and maintain phone lists for sales
9. Work with marketing to develop outreach reasons/campaigns
Must Haves
– Proven experience managing multiple time-sensitive projects, meeting deadlines, setting expectations, working independently, and collaborating across teams
– Strong interpersonal skills and ability to build relationships
– Strong organizational, written, and communication skills, including excellent writing and grammar (especially for email)
– Confident phone communication skills for outreach to prospects (follow-ups, setting meetings, etc.), with a quiet environment for phone work
– Strong attention to detail and ability to handle multiple tasks under a deadline
– Proven ability to keep prospects engaged
– Proficiency with CRMs, including understanding pipelines and the sales process
– Native-level English
– Ability to work during overlapping hours from 9:00am to 2:00pm EST
– Reliable internet connection and a remote office space with a door
– Goal-oriented mindset
– Proficiency in Microsoft Word, Excel, and PowerPoint, plus Google Docs/Sheets/Slides
– Minimum 1–2 years of experience supporting sales teams
– Working knowledge of new media, digital interactive initiatives, social media, and content
