Position Overview
McIvor Marketing is seeking a detail-oriented, highly organized Accounting and HR Consultant to join our team as an independent contractor (1099). This role is ideal for a motivated self-starter looking to gain hands-on experience in financial record-keeping, client invoicing, and HR operations within a fast-paced agency.
As an independent contractor, you will deliver service deliverables autonomously, managing daily transactional accounting activities, maintaining financial records, and executing routine account reconciliations. You will bring relevant expertise to take ownership of key finance and HR service scopes currently handled internally. You will collaborate with executive stakeholders on a project basis, with opportunities for contract scope growth and service expansion over time, aligning on milestones through scheduled service check-ins.
Key Deliverables & Responsibilities
Finance Responsibilities
• Transaction Recording: Accurately enter daily financial transactions, expenses, and payments into accounting software (e.g., QuickBooks Online).
• Accounts Receivable (AR): Prepare and issue client invoices, track incoming payments, and follow up on outstanding receivables.
• Accounts Payable (AP): Review, code, and organize vendor bills, receipts, and recurring subscriptions.
• Account Reconciliation: Perform monthly reconciliations for bank accounts, credit cards, and merchant payment processors.
• Document Management: Maintain an organized digital archive of receipts, contracts, Form W-9s, and financial documentation.
• Basic Financial Reporting: Generate standard financial statements (Profit & Loss, Balance Sheet from QuickBooks) for management review as needed.
Human Resources Responsibilities
• Payroll Management: Process bi-weekly payroll for the team, including tracking payments, tax deductions, and ensuring timely disbursements.
• Payroll Employee Onboarding and Offboarding: Coordinate paperwork and processes for new team members and departing personnel.
• Employee Record Management: Maintain accurate and confidential workforce records, including personal information, tax forms, and compliance documents.
Additional scope if contract expands with more hours paid per month
• Expense Tracking: Monitor and categorize expenses using tools like Divvy/Bill.com to ensure budget adherence and accurate reporting.
• Budgeting: Assist in developing, monitoring, and reporting budgets, including tracking HR-related expenses.
• Tax Preparation Support: Collaborate with management and external accountants to support tax filings and compliance.
• Benefits Administration:Assist with current and future benefit programs, which may include health insurance, retirement plans, and company perks/comp plans for team
• HR Policy and Compliance: Assist in implementing and enforcing HR policies, ensuring alignment with federal, state, and local employment laws (Arizona-specific knowledge is a plus).
Qualifications & Contractor Requirements
• Education & Experience: Associate degree or coursework in Accounting, Finance, or Business Administration preferred. Minimum 2 years experience doing bookkeeping & payroll for a small business is a plus.
• Software Familiarity: Experience with accounting software (QuickBooks Online, Xero, or similar) and spreadsheet tools (Google Sheets / MS Excel). Comfort with project management systems like Teamwork, Trello, etc.
• Accounting Knowledge: Solid grasp of foundational bookkeeping concepts (debits, credits, chart of accounts, double-entry bookkeeping).
• Soft Skills: High attention to detail, strong organizational ability, and clear written/verbal communication skills.
• Contractor Infrastructure: Must provide your own computer equipment, reliable high-speed internet connection, dedicated quiet workspace, and software tools. Responsible for personal tax reporting (Form 1099-NEC) and self-employment taxes.
